EXECUTIVE ASSISTANT I

Major duties

The Executive Assistant will support the SVP of Technology and the SVP of Sales & Marketing.  The candidate will be responsible for a variety of activities including but not limited to: Comprehensive and extensive management of both Executive?s complex calendars ? This heavy calendar management requires interaction with both internal and external executives and assistants to coordinate conference calls, interviews, and a variety of other complex meetings, including off-site meetings.  Collect and prepare information for use in discussions/meetings of the executive staff and outside individuals.  Maintain and process highly confidential personnel and client files; prepare expense reports and correspondences, and memos/letters on behalf of the Executive?s.  Coordinate all travel both domestic and international ? obtain necessary documentation for international travel (i.e., visas, passports, etc.).  Ability to plan, organize and meet priorities under pressure with little or no direction from the President.  A high degree of ethics, integrity and confidentiality.  Excellent written and verbal communication skills.  Flexible in meeting changing work needs and demands.  Organize files and maintain confidential materials.  Have a thorough understanding of the organization and company policies in order to prioritize meetings / requests without the advisement of the SVP?s.  Establish strong working relationships with other administrative support and all levels of management.  Maintain organization charts. Meticulous and competent with strong analytical and problem solving abilities.

Essential requirements

7+ years of administrative support experience, with the last 3+ years supporting at the executive level.  Excellent organizational and written/verbal communication skills.  Ability to interface with all levels of the organization.  Advanced knowledge of MS Outlook and Word; intermediate knowledge of MS Excel and PowerPoint.  (Advanced knowledge of PowerPoint a plus).  Ability to perform multiple tasks in a fast-paced and dynamic environment.  Strength in time management.  Seasoned, polished, professional, who is able to think fast, and work independently.  Experience in scheduling meetings for small and large groups, including video and/or audio conferences and off-sites.  Attention to detail and accuracy and strong follow-through skills.  Skilled in developing strong relationships with other administrative support and all levels of management.
